JOB SCOPE 

To receive and record payments from customers and reconcile payments received per day. To receive, verify and capture application and registration forms. Filing all business applications forms. 

Main responsibilities & performance areas

Receipting – Cash, Cheques, Debit And Credit Card Payments End Of Day Banking

And Reconciliations: Receives cash, debit and credit card payments and checking minimum amount due against amount presented for payment. Inspects cash bank notes using the money count/detector, to prevent the receipting of false notes. Queries payments with customers where issues arise and referring to appropriate section for assistance and guidance. Records payments made, using manual receipt book when the system is offline and updating electronic system once system is back online, attaching electronic receipts to the manual receipt book. Processes levy return forms, levy payments, new registrations and applications. Provides receipts to customers 

End Of Day Banking And Reconciliations Prints day-end balancing reports, detailing receipting sequences, pay methods. Balances all monies on hand against theoretical totals on the report. Reconciles the actual payments (cash, EFTs and cheques) against the report and resolves inconsistencies. Allocates cash, cheque and EFT payments to the correct payment methods, and forwards a report of day’s receipts to superior for checking. Attaches cancelled receipts for incorrect entries to cashier summary and requests superior to authorise the cancellation.

Banking and Cash Handling: Completes the bank deposit slip with relevant account details. Prepares the seal bag in the presence of the superior, inserts cash and completed deposit slip, writes the Namibia Tourism Board’s details on the bag, and drops it in the safe. Completes and signs the collection register at collection of the seal bag.  Writes the sequence numbers of security banking bags in the deposit books. Hands deposit book to superior for safekeeping.

Registrations: Screens application forms. Captures application forms into the system accurately. Answers enquiries on the applications of businesses. Prints certificates and discs.

Administration: Files levy returns, levy payments, new registrations, applications, receipts and open files daily. Sorts and maintaining an accurate filing system for all customer documents. Updates any information related to customers to reflect changes. Reroutes calls to appropriate supervisors. Answers inquiries from customers regarding levy returns, levy payments, new registrations, applications and receipts. Operates copy, scanning and mailing equipment. Calls the IT department for computer assistance when needed. Submits weekly and monthly reports

Key Qualifications and Experience Required:

Grade 12 (NQF level 4)

Key Experience: 

3 years’ experience in a similar or related role
