JOB SCOPE
To coordinate, plan, and execute domestic and international events, trade fairs, and exhibitions that promote Namibia as a preferred travel destination. The Events & Exhibitions Coordinator ensures successful NTB representation through strategic event planning, logistical coordination, and stakeholder collaboration.
Main responsibilities & performance areas
Event Planning and Coordination: Coordinate NTB’s participation in local and international trade fairs, expos, and events. Develop and maintain an annual events calendar, aligning activities with marketing strategies and organizational goals. Assist with booth design, branding, and setup to ensure visual consistency. Liaise with organizers, vendors, and partners for participation, sponsorships, and logistics. Manage registration, promotional materials, and event collateral. Arrange transportation and accommodations for participants. Oversee on-site setup, operations, and breakdown for smooth execution. Monitor and evaluate event performance, preparing post-event reports on attendance and ROI. Support virtual or hybrid event coordination, content development, and compliance with safety standards. Perform additional logistics tasks as needed to ensure successful events.
Stakeholder and Partner Engagement: Coordinate with stakeholders, authorities, vendors, and partners to ensure seamless event logistics and joint participation. Maintain strong communication with sponsors, exhibitors, and collaborators to build relationships and facilitate promotional activities. Identify, onboard, and support new partners, working with government agencies and industry groups to ensure compliance and leverage support. Monitor engagement, address feedback, and adapt strategies to strengthen partnerships and foster trust.
Logistics and Resource Management; Coordinate travel, accommodations, and shipment logistics for staff, delegates, and event materials to ensure timely delivery and smooth operations. Manage inventory and supplies, including promotional materials and event equipment, maintaining proper storage and availability. Oversee on-site event execution, including setup, breakdown, troubleshooting, and ensuring compliance with safety protocols. Develop logistics plans and liaise with vendors, monitoring resource utilization, optimizing operations, and maintaining accurate records for accountability.
Marketing and Promotional Support: Create and Distribute Promotional Content: Develop, edit, and share marketing materials such as flyers, banners, and digital assets for events. Capture and Manage Event Content: Take photos, videos, interviews, and testimonials, and organize content for ongoing marketing use. Manage Social Media Campaigns: Coordinate and execute social media activities before, during, and after events to increase engagement and visibility. Analyse and Support Post-Event Promotion: Monitor marketing metrics, assist with post-event outreach through social media and publications, and ensure timely content delivery.
Reporting and Administration: Prepare Event Reports and Track Finances: Compile attendance, feedback, outcomes, and monitor budgets and expenses for each event. Maintain Records: Organize event files, contact lists, and historical documentation for future reference. Support Event Operations: Assist with internal or external NTB events as needed. Perform Administrative Tasks: Handle additional duties assigned by the Manager Marketing and Support Services to ensure smooth event execution
Key Qualifications and Experience Required:
A Bachelor’s degree (NQF Level 7) in Event Management, Marketing, Tourism, or related field.
Excellent knowledge of the Namibian tourism industry.
Key Experience:
At least 5 years of relevant experience in marketing, branding, tourism promotion, or media coordination. Preferably digital marketing and CRM experience.
Special Requirements:
Willingness to travel and work extended hours when required. A full and current driver’s licence for a car.
